Templates and Template groups


If the task is often repeated, you can create a template for it with one click of a button.

In templates, you can set the distribution to specific employees or departments. When creating a new task from a template, the system will automatically distribute the task to the necessary employees, including according to the selected distribution algorithm.

Templates can be individual and subdivisions. In the latter case, all employees of the department, which includes the creator of the template, will have access to it.

Template Groups

Template groups are used to create projects. A project is a set of sequentially or parallel tasks performed. If task templates are combined into a group, then using this template you can create a project and automatically fill it with tasks that will already be created within the project using their templates. Let's consider a live example of a project: a telecommunications company needs to connect a home Internet to a new client .

The connection process cannot be performed within the task, because affects the work of 5 divisions of the company, and each division has a task must be entered sequentially.
  1. First, the manager must conclude an agreement with the client and take related actions
  2. After that, the network service should allocate ports, ip addresses, etc.
  3. After that, the physical connection will take place. The installation engineer must physically connect the apartment and set up the equipment client, demonstrate the work of the service
  4. Next, the actual data for billing this client must be entered in the billing
  5. As a final step, the marketing service should call the client, inquire about the quality of the service and the work performed
This whole process is very difficult to organize within one task. It will be difficult for a manager to create 5 tasks, to think about who and when will do it. Employees will have to call each other every time, inform them that the task has been done and you can start your own. The system should organize such processes automatically.

The example in the figure shows a similar project, it can be created with two clicks of the mouse, specifying the name, date and template of the project for an Internet connection. Then the system will do everything by itself:
  1. Fill this project with tasks.
  2. In each task, it will indicate client data from the project.
  3. Will distribute them to the required divisions of the company.
  4. Within the departments will distribute to the required employees according to the distribution algorithm, specified in the task template (in turn, by task type, by workload, etc.).
  5. Will fill in comments and checklists with a work plan for each department.
  6. Further, tasks will be sequentially put into operation by departments.
All this will happen absolutely automatically.
